SETUP GUIDE

Connect older expense taxes to the Wave business you use.

A practical guide to selecting your Wave business, reusing existing tax definitions, and checking the expense category and paid-from account before syncing.

Android on Google Play. iPhone and iPad access through TestFlight.

1. Verify the selected Wave business.

In Accounting settings, confirm that the connection belongs to the business that should receive the expense. Refresh the account and tax catalog; a full historical import is a separate action, not a requirement for finding existing tax definitions.

2. Reuse the tax that is already there.

A pre-connection expense may refer to a local GST or PST placeholder. Match it to the same active tax name and saved rate in Wave. The recorded tax amounts should stay unchanged. If multiple taxes match or the saved rate conflicts, choose the right existing entry rather than creating another one.

3. Check category and paid-from account.

Choose the category describing the purchase and the real bank, card or other supported account used to pay. A tax match does not establish which account funded the expense. Keep the receipt with the purchase.

4. Confirm the result.

After saving, check that the expense has a confirmed Wave status. A pending or uncertain result needs review before retrying. If an error appears, keep its reference so support can trace the action.

Check the supplier receipt first.

Enter the amount paid and the tax amounts shown on the original receipt. For example, a receipt showing a $100 purchase and $5 GST should retain those purchase figures even if you charge the customer a different amount. The customer invoice and the supplier expense represent different transactions.

Verify the first expense in Wave.

After connecting the business and saving the mappings, open an expense you can easily recognize. Check the category, paid-from account, total and receipt, then review its sync status. Confirm the corresponding record in Wave before repeating a failed action. Ask your accountant which taxes are recoverable for your business; the app cannot decide that from the receipt alone.
